Privacy notice

Varienta processes account details, files you submit, analysis settings, results and security records to provide the service. Upload only data you are authorised to use and remove identifying information before submission.

MendeTech LLC operates Varienta. We manage account, billing and security information. Your institution or workspace owner determines the purpose of research data it submits; we process that data to provide the requested service. Do not upload directly identifying or restricted research data without the necessary permissions and processing arrangements.

When you visit or use the service, we and our providers may process IP addresses, browser and device information, request times, error details and account activity to deliver and secure it. Research records can include uploaded files, filenames, project settings, reviewed excerpts, results and audit events. Collaborators receive access according to workspace permissions. Do not include participant data in support messages.

Lawful grounds, rights and complaints

Account and project data support authentication, access control, analysis, exports and support. Security and audit records help investigate misuse and preserve a history of actions. Marketing consent is separate; accepting these terms does not subscribe you to marketing.

We use account and billing information to deliver the service you request, security records for our legitimate interest in preventing misuse, and transaction records to meet legal obligations. Where processing relies on your consent, you may withdraw it. Research organisations must establish their own lawful grounds for the data they submit.

Providers and processing locations

Netlify provides web hosting, database and file storage; Railway runs private calculation services; Clerk provides sign-in; Stripe processes payments. They receive information needed for those functions. Stripe collects card details; Varienta stores billing identifiers, invoice references and payment status, not full card numbers. Processing may take place internationally, including in the United States and Europe. Ask about transfer arrangements before submitting restricted data. We may disclose information when legally required or necessary to protect the service and its users.

Retention schedule

Project owners can schedule deletion in Project settings, subject to retention holds. Live data are removed asynchronously, with retries for failed cleanup. Audit history and deletion receipts remain and can include filenames and account identifiers. Account, transaction and security records are retained as needed for service delivery, legal duties and disputes. Provider backups and historical versions have separate lifecycles; project deletion does not promise immediate erasure of every copy. Subscription cancellation does not delete your data.

Cookies and storage

Varienta’s session cookie lasts up to 12 hours. The language preference uses a cookie and local storage; the cookie lasts up to one year. The project workspace preference lasts up to one year. Authentication-provider storage has its own lifecycle. Browser controls can clear storage, which may sign you out or reset preferences.

Optional AI assistance

Statistical calculations do not require an AI model. Optional qualitative AI, where enabled, sends selected reviewed excerpts and task context to the provider identified in the review screen after the workspace permits external AI. Review the provider, redactions and terms before submission. AI suggestions require human review; enabling assistance is not consent to unrelated marketing.

Privacy contact

Depending on applicable law, you may request access, correction, deletion or a portable copy, restrict processing, withdraw consent, or object to processing based on legitimate interests. Contact us using the details below; we may verify your identity and authority. For an institution's research records, contact that institution first. You may complain to the data-protection authority where you live or work. No subscription is required to make a privacy request.

Changes to these policies

We publish revisions here with a new version date. Material changes will be brought to users' attention through the service or an account notice. Changes do not retroactively alter completed purchases or remove mandatory rights. Review these pages before new uploads or purchases.
